How to Pack Spare Parts for Export: Wrapping and Palletising

Why export packing decides whether the parts arrive usable

Spare parts pass through several handlings before they reach the buyer's store, and each handling is a chance for a pack to open, a carton to crush or a part to move inside its packaging. Export packing is not about appearance; it is about keeping a heavy, awkward part centred on a pallet and keeping moisture and dust out for the length of the voyage. Most damage comes from movement inside the pack and from a pallet that was not built to carry the load, not from the parts being fragile.

What a packed spare-part consignment should look like

A consignment ready to load has a hard outer pack on a roped or strapped pallet, a liner that stops the parts moving, film over the upper face and around the body, and a label that stays readable after handling. The parts inside are the ones named on the packing list, and every machined surface or bearing face is protected separately. If the pack cannot be lifted and set down without the parts shifting, it is not ready to ship.

The step-by-step packing procedure

  1. Initial forming and securing. Place a hard carton box on a roped pallet, that is a pallet with pre-tensioned straps. Insert a hard liner inside or around the parts to stop them moving. Position the pack so it stays centred on the pallet, with no overhang that a fork truck can catch.
  2. Upper-face covering with film. Cover the upper side of the pack with PE or PVC film. Let the film extend slightly over the edges so dust and moisture cannot enter from above.
  3. Full body wrapping. Use a film wrapping machine, either an orbital wrapper or a turntable wrapper, starting at the upper face of the pack and working downwards to the pallet base. Apply tension so the film adheres tightly without gaps, and complete several cycles: 2 to 3 wrap cycles at the bottom, 3 to 4 around the body, and 2 across the upper face.
  4. Final labelling. After wrapping, place the sticker carrying the shipping mark, the handling instruction or the barcode directly onto the film-covered body of the pack. Use a waterproof, scratch-resistant label, or cover the sticker with clear tape so it survives the voyage.

Wrap cycles and the overlap to insist on

The wrap count is only half the specification; the overlap between layers and onto the pallet is the other half.

PositionWrap cyclesWhat it has to achieve
Bottom of pallet2 to 3Lock the pack to the pallet base and stop it sliding
Body3 to 4Hold the carton and liner square and spread the load
Upper face2Close the upper face against dust and rain run-off
Film onto pallet bottomAt least 2 inches (about 50 mm)Tie the load down so nothing lifts in transit

Quality checks before the pack leaves the floor

  1. The hard liner fully stabilises the parts inside the carton.
  2. The film overlaps the pallet bottom by at least 2 inches.
  3. There are no loose film tails; secure any with tape.
  4. The sticker is visible, legible and will not peel off in transit.
  5. The pack sits square on the pallet with no overhang.

Documentation that should travel with the consignment

Packing protects the parts; documents tell the buyer and the carrier what is inside. Ask the supplier to provide a packing list, a commercial invoice, a certificate of origin where it applies, and the transport documents for the agreed Incoterms 2020 rule. Where wooden pallets or crates are used, ask for confirmation that the wood meets ISPM 15. For machined or critical parts, a dimensional inspection report is worth requesting before loading, so any issue is found on the supplier's floor rather than at the buyer's.

Container loading and what to check at the door

Before the doors close, check that the pallets are pushed together with no gap that lets them move, that heavy packs are on the floor and lighter packs above, and that nothing can shift against the doors. Moisture is a common stowage problem, so ask whether desiccant is used, and count the packs against the packing list.

Common packing failures and what to check first

  1. Parts move inside the carton - check the hard liner and the initial securing step.
  2. Carton crushes in the stack - check the pallet loading pattern and whether heavy packs are stacked above.
  3. Film unwraps in transit - check the wrap count and the tension, and look for loose tails.
  4. Moisture inside the pack - check the upper film, the wrap overlap and whether desiccant is used.
  5. Label missing or unreadable - check that the sticker is under clear tape and not over an edge.

FAQ

How many times should a pallet be wrapped for export?

A practical sequence is 2 to 3 cycles at the bottom, 3 to 4 around the body and 2 across the upper face. The count matters less than the overlap: the film should reach at least 2 inches onto the pallet base, and every layer should touch the one below it.

What is the most common cause of damage to exported spare parts?

Movement inside the pack. A part that is not held by a hard liner or a filled void will move with every handling and can strike the carton or another part.

Where should the shipping label go?

Directly on the film-covered body of the pack, using a waterproof label or clear tape over it. Do not place it only on the carton under the film, where handling will hide it.

Should wooden pallets be treated?

Ask for confirmation that any wood in the pack meets ISPM 15. This is a requirement many destinations enforce, and it is a question for the supplier, not something to assume.

What documents should I ask for before loading?

A packing list, a commercial invoice, a certificate of origin where applicable, the transport documents for the agreed Incoterms 2020 rule, and a dimensional inspection report for machined parts.
